These Terms and Conditions govern your use of Live Laugh Learn 4 Life CIC's services and programmes. By booking or participating in our programmes, you agree to these terms.

2. Definitions

  • "We," "us," "our" refers to Live Laugh Learn 4 Life CIC
  • "Parent/Guardian" refers to the person with parental responsibility booking the programme
  • "Participant" refers to the child attending the programme
  • "Programme" refers to any sports activity, camp, or session offered by Live Laugh Learn 4 Life CIC

3. Booking and Payment

3.1 Booking Process

  • All bookings must be made by a parent or guardian
  • Bookings are confirmed upon receipt of full payment unless a payment plan has been agreed
  • We reserve the right to refuse bookings at our discretion
  • Places are allocated on a first-come, first-served basis

3.2 Payment Terms

  • Full payment is required at the time of booking unless otherwise agreed
  • We accept bank transfers and card payments
  • Payment plans may be available for certain programmes - please contact us to discuss
  • Non-payment may result in cancellation of the booking

3.3 Pricing

  • All prices are stated in British Pounds (GBP)
  • Prices may be subject to change, but confirmed bookings will honor the original price
  • Discounts and scholarships may be available - please enquire for eligibility

4. Cancellations and Refunds

4.1 Cancellations by Parent/Guardian

Refund Policy:

  • More than 14 days before programme start: Full refund minus £10 administration fee
  • 7-14 days before programme start: 50% refund
  • Less than 7 days before programme start: No refund
  • Emergency circumstances: Refunds at our discretion on case-by-case basis

4.2 Cancellations by Live Laugh Learn 4 Life CIC

  • We reserve the right to cancel programmes due to insufficient bookings, staff illness, adverse weather, or unforeseen circumstances
  • In the event of cancellation by us, you will receive a full refund or credit toward another programme
  • We are not liable for any additional costs incurred (travel, accommodation, etc.)

4.3 No Shows

  • Failure to attend without prior notice will result in forfeiture of fees
  • No refunds will be given for non-attendance

5. Programme Sessions and Attendance

5.1 Session Times

  • Parents must ensure participants arrive on time for sessions
  • Collection times must be adhered to strictly
  • Late collection may incur additional charges (£10 per 15 minutes after the designated end time)

5.2 Attendance

  • Regular attendance is expected for the benefit of all participants
  • If a participant is unable to attend, please notify us as soon as possible
  • No refunds or credits for missed sessions except in cases of prolonged illness (with medical certificate)

6. Health, Safety and Welfare

6.1 Medical Information

  • Parents must provide accurate and complete medical information during booking
  • Any changes to medical conditions must be reported immediately
  • We reserve the right to refuse participation if medical needs cannot be adequately supported

6.2 Medication

  • All medication must be clearly labeled with the child's name
  • Medication must be handed to staff with written administration instructions
  • Parents must complete a medication consent form

6.3 First Aid and Emergency Medical Treatment

  • We have qualified first aiders on site during all sessions
  • In the event of an emergency, we will contact parents immediately
  • We reserve the right to call emergency services if necessary
  • Parents are responsible for any medical costs incurred

6.4 Illness Policy

  • Children must not attend if they have been sick or have diarrhea within 48 hours
  • Children with contagious illnesses must not attend
  • We reserve the right to send home any child showing signs of illness

7. Behaviour and Conduct

7.1 Code of Conduct

All participants must:

  • Treat staff, volunteers, and other participants with respect
  • Follow instructions from staff at all times
  • Not engage in bullying, aggressive, or inappropriate behavior
  • Respect equipment and facilities
  • Wear appropriate sports clothing and footwear

7.2 Disciplinary Action

  • Inappropriate behavior will result in verbal warnings
  • Serious or repeated misconduct may result in removal from the session without refund
  • Parents will be contacted immediately in cases of serious misconduct
  • We reserve the right to exclude participants who pose a risk to themselves or others

7.3 Parent/Guardian Conduct

  • Parents must treat staff and other parents with respect
  • Aggressive or abusive behavior will not be tolerated
  • Parents must not approach other children except their own

8. Safeguarding

8.1 Our Commitment

  • We are committed to safeguarding all children in our care
  • All staff and volunteers are DBS checked
  • We follow statutory safeguarding guidelines
  • All safeguarding concerns will be taken seriously and reported appropriately

8.2 Reporting Concerns

  • Any safeguarding concerns should be reported immediately to the session leader
  • Safeguarding concerns can also be emailed to: info@livelaughlearn4life.co.uk
  • We have a statutory duty to report certain safeguarding concerns to appropriate authorities

9. Photography and Social Media

9.1 Programme Photography

  • We may take photographs during programmes for safeguarding and record-keeping purposes
  • Separate consent is required for promotional use of photographs
  • Parents may request that their child is not photographed

9.2 Social Media Policy

  • We will never tag individual children in social media posts
  • We will not use children's full names alongside photographs
  • Parents may withdraw photo consent at any time

9.3 Parent Photography

  • Parents may photograph their own children only
  • Photographs of other children must not be taken or shared without permission

10. Insurance and Liability

10.1 Our Insurance

  • We hold public liability insurance
  • We hold professional indemnity insurance

10.2 Limitation of Liability

  • We take reasonable care to ensure participant safety
  • Sport involves inherent risks, and we cannot be held liable for injuries occurring during normal sporting activities
  • We are not liable for loss or damage to personal belongings
  • Parents are advised to have their own personal accident insurance

10.3 Participant Responsibility

  • Participants attend programmes at their own risk
  • Parents are responsible for ensuring their child is physically fit to participate
  • We recommend consulting a doctor if unsure about participation

11. Personal Belongings

  • We are not responsible for loss or damage to personal belongings
  • All items should be clearly labeled with the child's name
  • Valuable items should not be brought to sessions
  • Lost property will be kept for 30 days before disposal

12. Food and Allergies

  • Parents must provide packed lunches for full-day programmes
  • All allergies and dietary requirements must be disclosed at booking
  • We maintain allergen-free zones where necessary
  • Participants must not share food with others

13. Weather and Cancellations

  • Programmes run in most weather conditions
  • We may cancel or relocate sessions in extreme weather
  • Alternative indoor activities may be offered
  • Parents will be notified of cancellations as soon as possible

14. Changes to Terms

  • We reserve the right to amend these terms at any time
  • Updated terms will be published on our website
  • Significant changes will be communicated to parents
  • Continued use of our services constitutes acceptance of updated terms

15. Complaints Procedure

  • We welcome feedback and take complaints seriously

  • We aim to respond to complaints within 5 working days
  • Formal complaints will be investigated and responded to within 28 days

  • We process personal data in accordance with UK GDPR

17. Governing Law

  • These terms are governed by the laws of England and Wales
  • Disputes will be subject to the exclusive jurisdiction of the English courts
